
What are Automated Actions?
The Automated Actions functionality in Poli Flow allows users to configure triggers that, when activated, automatically execute specific actions. This feature was developed to optimize processes, ensure tasks are managed precisely, and save time by reducing the need for manual intervention.
How Triggers Work

Triggers are the events that activate automated actions in Poli Flow. They can be configured according to your specific workflow needs. The triggers can be:
- Enter Stage: Triggers the action automatically when an opportunity or ticket enters a specific stage of the pipeline.
- Marked as Won or Lost: Triggers the action when an opportunity is marked as won or lost within a pipeline.
- Marked as Resolved or Not Resolved: Activates the action when a ticket is marked as resolved or not resolved within a pipeline.
How Actions Work
Actions define what will be done automatically when a trigger is activated. In Poli Flow, you can configure the following actions:

- Change Status: Automatically modifies the status of an opportunity or ticket according to the defined criteria. For example, you can configure it to change an opportunity's status to won or lost.
- Create Task: Automatically generates a new task linked to the card, saving time and ensuring nothing is forgotten.
- Move Stage: Automatically moves the card to a new stage in the pipeline, ensuring process continuity without the need for manual intervention.
Time Restrictions
To ensure the effectiveness and appropriateness of Automated Actions, Poli Flow allows the configuration of time restrictions for both triggers and actions.

- Time Restrictions for Triggers: This setting allows triggers to be activated only during a specific period. This means an event like "enter stage" will only trigger automated actions if it occurs within the defined time frame.
- Example: The trigger is "enter the 'In Progress' stage" from 2:00 PM to 6:00 PM. In this context, the action will only be executed for cards that enter the defined stage within this time window.
- Time Restrictions for Actions: In addition to restricting times for triggers, you can define specific times for the execution of automated actions. Even if a trigger is activated, the configured actions, such as "create task" or "move stage," will only be performed within the permitted time. This ensures that changes in the pipeline happen at appropriate times, respecting the team's operational needs, and prevents actions from being executed outside business hours or at inopportune moments.
